Holiday, Tour and Event Terms and conditions

"We/us" Means [BB Shipping Limited, Registered in England & Wales, 10509843, 13a Lowthian Street, Preston, Lancashire. PR1 2EP. United Kingdom]

"The Event" Means any holiday, accommodation, activity or function organised or advertised by us.

"You" Means the person who has signed the booking form and includes all the people on whose behalf you have signed.

"Supplier" Means the company or person that is holding or providing the event or any part of it.

"Price" Means the total cost of the event.

These terms and conditions govern the contract between you and us to the exclusion of all other terms and conditions save for those implied by law, and no variation to these terms and conditions shall be valid unless in writing and signed by you and the company director.

No contract shall arise between you and us until we have received the deposit payable and we have sent to you written confirmation (This can be in the form of an email) of our acceptance of your booking.

The lead name on any booking with us accepts the full responsibility of collecting the full balance payable for the booking and indemnifies BB Shipping Limited against any loss from any individual failing to pay within your group. The lead name of the group is also responsible for ensuring that all group members are aware they are bound by our terms and conditions. The lead name is also responsible for the completion of the online guest list on behalf of all persons on the booking. It is understood that those booking via email or telephone agree to, and accept our terms and conditions.

Deposits are payable at the time of booking and the balance of payments are split into the following phases: An agreed non-refundable non-transferable deposit is payable at the time of booking. The final balance is to be paid no less than 6 Weeks before the date upon which your event is due to start. Failure to pay by this date will result in forfeiture of deposits and monies paid. If you do not make your deposit payments by the due dates given then you shall be deemed to have cancelled the event. Deposits are used by us to enter into the contractual arrangements on your behalf and are non refundable. Payments can be made online bank transfers or cheque(s) made payable to BB Shipping Limited where upon receipt we will endeavour to place the booking for you at the same price, although this cannot be guaranteed. We will however notify you should there be an increase in price.

If you have a voucher from BB Shipping Limited only one can be used per booking.

The following items are not included in our tours and shipping only: Return passenger airline flights, Personal travel, accident and medical insurance. Third party motorcycle insurance when riding your own motorcycle. Entrance fees to sights and parks (except where stated), personal spending money, meals (except where stated), drinks, alcohol, tips, optional excursions or other extras. Personal documentation (eg visas, passport), vaccinations, personal taxes, border crossing fees. Motorcycle fuel, toll road fees, traffic fines and penalties issued by authorities.

Any special requests must be advised to us at the time of booking e.g. diet, room location, a particular facility at a hotel etc. You should then confirm your requests in writing. Whilst every effort will be made by us to try and arrange your reasonable special requests, we cannot guarantee that they will be fulfilled. The fact that a special request has been noted on your confirmation invoice or any other documentation or that it has been passed on to the supplier is not confirmation that the request will be met. Failure to meet any special request will not be a breach of contract on our part unless the request has been specifically confirmed. We do not accept bookings that are conditional upon any special request being met.

Excursions or other tours that you may choose to book or pay for whilst you are on the Tour are not part of your contracted arrangements with us. Therefore, your contract will be with the operator of the excursion and not with us. We are not responsible for the provision of the excursion or for anything that happens during the course of its provision by the local operator.

We endeavour to ensure that all the information and prices on our website are accurate; however occasionally changes and errors occur and we reserve the right to correct prices and other details in such circumstances. You must check the current price and all other details relating to the arrangements that you wish to book before your booking is confirmed.

Participating in motorsports and off road riding or motorcycling in general and can be dangerous and despite the organisers taking all reasonable precautions, unavoidable accidents can happen in respect of which you are present entirely at your own risk.

I confirm that I am familiar with the nature of the activities, which I wish to undertake and acknowledge those risks, which are inherent therein.

I hereby declare that I am in good health, and that I am not suffering from any other medical condition or disability, which might make it unsafe for me to participate in any activity organised or provided.

In consideration for being permitted to participate in activities in connection with the event, I accept that I shall be solely responsible for any decision as to my fitness to participate or discontinue to participate in any activity. I understand that ( we )reserve the right to remove me from the facility or activity at any time if they consider my action to be dangerous or detrimental to any other party.

I further agree that I shall not seek to claim against ( who), nor their officials, the landowner, the promoter or other bodies or individuals connected with the activity in respect of any damage to my property howsoever caused, and whether by negligence or breach of statutory duty of the said bodies or persons.

Our Tours are run by a Tour Leader. The decision of the Tour Leader is final on all matters likely to affect the safety or well-being of any Participant, including the motorcycling competency of any Participant, any change in itinerary due to unforeseen circumstances or the removal of a Participant from the Tour. If you fail to comply with a decision made by the Tour Leader, or interfere with the well-being of the group, the Tour Leader may order you to leave the Tour immediately, with no right of refund. In such a circumstance, where a Participant is removed from the trip, BB Shipping Limited accepts no responsibility for their return home or to the start point, or any other costs incurred therein.

We may cancel the event or any part of it: for safety reasons if we or our supplier(s) regard adverse weather conditions or other safety concerns as unacceptable and which cannot reasonably be overcome; If we reasonably believe that you may cause harm or damage to our reputation or to the reputation of our suppliers or to property belonging to our suppliers; If a supplier or suppliers are unable to host the event for any reason; If changes you wish to make to the booking mean it is uneconomical or impractical to hold the event. If we cancel the whole of the event we shall use our best endeavours to rearrange the event on a mutually convenient date, or provide a refund to you of the cost to us of the event. Save as above we shall be under no further liability to you for cancellation of the event or any part of it..

You may cancel your booking after you have paid the deposit however the initial deposit is non-refundable. If you cancel your booking more than 12 weeks in advance of the travel date then the cancellation fee is a minimum of 50% the remaining booking cost, or the total amount paid to us at that time on the booking (not including the deposit). If you cancel your booking within 8 weeks of the travel date then the cancellation fee is 100% of the total cost of the booking.

If, due to reasons beyond our control, an event is unable to take place due to (but without limitation); closure of premises, the ceases of trading, a change in supplier management, weather restrictions, we will provide you and your group with an alternative event and if this is does not prove possible, a refund to you of the cost to us of the event.

If your booking includes accommodation, the named accommodation will remain confidential to BB Shipping Limited and only be disclosed to you upon receipt of the completed secondary deposit and written confirmation from the supplier.

Breakfast is not included with accommodation bookings unless otherwise stated. The type of breakfast you will receive will be confirmed upon arrival at your accommodation (this may be hot or cold regardless of your quotation). Restaurant meals may require a pre-order to be completed by the lead name of the group. This should be completed and returned to us, or the venue as required. If a pre-order has not been completed, we accept no liability for meals not provided or delays in providing the meals for you. You will not automatically be sent any menus and menus may be of limited choice from a set-menu for groups. We will endeavour to meet any specialist dietary requests for any member of your group, but can not guarantee these requests. We accept no liability if our suppliers are unable to meet these requests in advance, or once at the venue. If your group arrives late then we accept no liability.

If due to circumstances beyond our control it becomes necessary to substitute an alternative supplier, or make any other alterations to the event (including accommodation) we shall inform you of the changes as soon as possible. You must pay any additional cost due to such changes. If the changes are, in the view of BB Shipping Limited, so substantial as to materially alter the event and you are unwilling to accept them then you may cancel the event and we will give a refund of the cost of the event to us. Surcharges may be applicable where an event requires a minimum number of participants to proceed, and the group does not meet this minimum number. This could lead to the cancellation of the event of which we are not held responsible and alternatives may be offered of an equal or greater value. If this value is greater, then you must pay us the difference in price. If the final number of a group is an odd number, then a single supplement surcharge will apply if the booking or an event (including accommodation) which is number dependent.

We shall try to accommodate any reasonable changes you wish to make to the event. Alterations and amendment requests should be made with us and not end suppliers and should be made in writing to us by the lead name. These changes shall not be deemed accepted until we have confirmed in writing to you. If you wish to increase or decrease the number of persons participating in the event you may do this up to six weeks prior to the date upon which your event is due to start. Amendments after that date will incur our administration charge of 25% per person. Changes such as arrival / departure dates and destination changes will also be subject to our administration charges. We cannot guarantee that the change to the price will be pro-rata, but will depend upon the arrangements we are able to make with our suppliers. Subject to our written agreement you may transfer your booking to a person who satisfies all the conditions applicable to the event.

You shall at all times behave in a safe, responsible and courteous manner; comply with all instructions; regulations and codes of practice issued by us or our suppliers; ensure that you comply with all age restrictions imposed by our suppliers; ensure that you comply with all arrival times, and dress appropriately for the event. If you breach these obligations we may cancel or curtail the event or any part of it and in those circumstances you shall not be entitled to any refund. You shall take out insurance suitable for your needs (including delays for events involving travel by land, sea, or air) before the event.

a) The Participant(s) must have in their possession during the Tour the following documents which must be current and valid and are in respect of their vehicle and the Participant(s).
Passport, valid for six months after the end date of the trip.
Driving licence of the Participant(s) country of residence (where applicable).
International Driving Permit
Vehicle registration document and / or title (where applicable)
Carnet de passage (where applicable)
Vaccination certificates (where appropriate)
Personal travel insurance, valid for touring on your motorcycle and appropriate for the capacity of the engine and covering personal accident, medical expenses, repatriation, loss and damage to personal effects.

b) It is the Participant's responsibility to make all necessary arrangements to ensure compliance with visa requirements for each country, and we accept no responsibility whatsoever in the event that these matters are not dealt with prior to departure. Participants who are forced to curtail their participation due to incorrect, lack of or loss of necessary documents will not be refunded.

c) The Participant(s) accepts responsibility for obtaining all necessary travel information and documentation required for the Tour. Any information that we provide to the Participant(s) on such matters as permits, visas, vaccinations, climate, clothing, baggage, special equipment etc, whether done before the start or during the Tour, is given in good faith but without any responsibility whatsoever on the part of BB Shipping Limited.

d) It is the Participant(s) responsibility to ensure that they seek professional medical advice before travelling and to take all necessary health precautions and preventative measures. The Participant(s) must inform us of any medical, physical, mental or other condition, which may affect the services provided on the Tour, including any condition which may arise en route.

e) In booking a Tour, the Participant(s) acknowledge that they are responsible for making themselves aware through their country's Foreign Office, State Department warnings, advisers and other sources available to them, in regard to the safety of the countries and areas in which they will be travelling and to make their own decisions accordingly.

f) The Participant(s) are solely responsible for the condition of the motorcycle and that it is safe for use. Your motorcycle must be in good legal condition. In the event of a mechanical failure, all additional costs associated with the repair of the motorcycle are the responsibility of the Participant(s).

g) Participant(s) are responsible for the provision of their motorcycle rider equipment and kit and the wearing of a helmet is mandatory for all riding when on Tour.

h) Participant(s) are responsible for the use of the motorcycle and how they ride it and they must conform to local laws and regulations. They are also responsible for any pillion passenger being carried. A road traffic accident that occurs to Participant(s) causing personal injury or death is not the responsibility of BB Shipping Limited or the Tour Leader or support team, unless we are shown to have been legally negligent.

i) By signing the booking form, the Participant(s) agree to accept the authority and decisions of our Tour leader, employees, agents or suppliers during the Tour. If, in the opinion, of any of these people, your health or conduct appears to endanger the progress of the Tour you may be excluded from the whole or part of the Tour.

j) The Participant(s) must abide by all local laws and customs of the countries visited, including but not limited to motorcycle clothing and equipment, condition of their motorcycle, traffic regulations, the Participant(s) ability to ride the motorcycle and all other laws. In the event that the Participant(s) are stopped or held by the local authorities, the consequence of this remains the Participant(s) responsibility and we will not be able to unduly delay any part of the Tour. BB Shipping Limited has the absolute discretion to order a Participant to leave the Tour if they are found contravening such laws and customs, or interfering (or is judged to have the potential to interfere) with the well-being of the group, other Participant(s) or themselves, or they are putting the progress of the Tour in jeopardy.

k) The Participant also expressly understands that they are under a duty to mitigate any risks to themselves as far as is practicable, by taking all reasonable steps to ensure their own safety whilst on the Tour.

l) We will not be able to assist the Participant(s) to the detriment of the other Participants of the Tour. The Participant(s) may rejoin the Tour at any time, provided they are fit to do so. Should a Participant leave a Tour prior to the end, for whatever reasons, no refund will be made.

m) The Participant(s) must be aware that we may take photographs, videos and films of the Participant(s) whilst on the Tour, of which we reserve the right to use such material for any advertising, brochures and video production, and other marketing uses without obtaining further consent.

n) All riders must be physically and mentally fit to participate in our events.

o) All riders must wear the following protective clothing:
a. Helmet (at all times whilst on a bike) preferably gold stamped/E marked
b. Protective MX/Enduro/Motorcycle boots. No trainers/rigger boots, wellingtons etc allowed.
c. Long sleeve shirt/jersey etc.
d. Goggles or eye protection
e. Whilst we recommend body armour, knee/elbow pads etc.. these are not mandatory.

p) Acceptable machines: We have the right to refuse entry if the bike appears to be unsafe.

q) Tyres - Off Road - we recommend good knobblies tyres. The terrain can be rocks, mud, sand, gravel etc. if it's wet, it's incredibly slippery.

If there is a section of the ride that you find too hard please inform the guide who will give you an alternative route if an easy route has not been provided before hand. Ride safe, respectful of other riders and within your limits.

You are responsible for making yourself aware of Foreign Office advice and State Department warnings in regard to the safety of the countries and areas in which you will be travelling and to make your decisions accordingly. Advice from the Foreign Office to avoid or leave a particular country may constitute Force Majeure.

Adequate travel insurance is a condition of your contract with us. You must be satisfied that your insurance fully covers all your personal requirements including cancellation charges, medical expenses and repatriation in the event of accident on your motorcycle or otherwise or illness and existing medical conditions. Your insurance must also cover you to undertake motorcycling activities and the associated risks. If you choose to travel without adequate insurance cover, we will not be liable for any losses howsoever arising, in respect of which insurance cover would otherwise have been available.

Adequate travel insurance is essential. You will be responsible for your own travel insurance which must not exclude riding a motorcycle or driving a car in a foreign country. The organisers strongly recommend that suitable travel insurance is obtained by the participant as soon as possible after signing up for the event as this should provide cover against cancellation charges, unexpected curtailment of the trip, medical expenses arising overseas, loss or damage to luggage and personal liability claims. Proof of travel insurance will be requested. You are not required to provide insurance cover for the vehicle itself but should damage occur to your machine through rider/driver error you will be liable for the cost of repair. It is your responsibility to ensure that the insurance cover you purchase is suitable and adequate for your particular needs.

Our insurance only covers your bike and kit whilst in transport. Once in country or at the hotel you must have adequate insurance cover for your rider kit ( usually covered by your holiday insurance provider) and also insurance against theft or 3rd party damage.

It is your responsibility to ensure you bring a suitable motorcycle with you for participation in the Tour.

You accept that you are responsible for the condition and maintenance of your motorcycle and any other such equipment you use on the Tour.

Please note that whilst all reasonable efforts will be made by us to ensure the safe keeping of your motorcycle, we cannot be held responsible for any loss or damage to your motorcycle as a result of your participation in the Tour or otherwise.

We shall take reasonable care and skill in arranging the event and comply with all applicable laws in relation to the event; where ever possible, re-schedule the event instead of cancelling or offer a refund to you of the cost to us of the event. All of the photographs and illustrations we use on our website and in literature (including quotations) we send you are for marketing purposes and may not entirely represent the actual products received.

a) We are not a specialist disabled holiday company, but we will do our utmost to cater for any special requirements you may have. If you or any member of your party has any medical problem or disability which may affect your stay, please provide us with full details before we confirm your booking so that we can try to advise you as to the suitability of your chosen arrangements. We may require you to produce a doctor's certificate certifying that you are fit to participate in the tour. Acting reasonably, if we are unable to properly accommodate the needs of the person(s) concerned, we will not confirm your booking or if you did not give us full details at the time of booking, we will cancel it and impose applicable cancellation charges when we become aware of these details.

b) You must be adequately fit to cover the distances and undertake the program set out in your itinerary. If it is felt that any Participant is not sufficiently fit, healthy, properly equipped or able to complete the Tour without affecting its safety, comfort or happy progress, the Tour Leader at any stage has the right to remove you from the Tour.

c) Medical Treatment: It is a condition of joining a Tour that in cases of emergency we have your authority to arrange any necessary medical or surgical treatments and to sign any required form of consent on your behalf.

If you or any member of your party misses your flight or other transport arrangement, it is cancelled or you are subject to a delay of over 3 hours for any reason, you must contact the airline or other transport supplier concerned directly and immediately. As we do not offer flights or other transport as part of our package, we have no liability whatsoever to you in respect of any such delays or cancellations. Any airline or other transport supplier may however pay for or provide refreshments and/or appropriate accommodation and you should make a claim directly to them.

When you deliver your bike you must:
1. Ensure your battery disconnected with leads isolated before your bike is delivered.
2. Ensure there is a minimum amount of fuel in the tank; excess fuel will be emptied out. In Bulgaria we have fuel station within half a mile and in the UK it's on the same site as the pick up point so no need to worry about running out on arrival..
We recommend you bring bubble wrap, cling film, a blanket, it is extra protection for the journey.
4. Please note it is up to you to strap the bikes in the stillage / crate provided. Only when you have strapped the bikes and handed over the customs declaration forms for the bike and kit, will the bike be within our control and care.
5. We cannot ship fuel cans.

We cannot pay any compensation, damages, expenses, costs, losses or any other amount of any description or otherwise accept responsibility if we have to change or cancel a booking or your booking cannot be provided as or when agreed, or your booking arrangements prove deficient or you suffer any loss or damage of any description (including death or personal injury) as a result of circumstances or an event beyond our control, which we could not foresee or avoid even after taking all reasonable care. Such circumstances will usually include war, terrorist activity, civil unrest, industrial dispute, fire, natural or nuclear disaster, bad weather and all similar circumstances and in all such cases whether, actual or threatened.

If you have a problem whilst on your booking then you must contact the appropriate person(s) at the earliest opportunity, for example accommodation / restaurant manager. Unless there is a valid reason why you did not report your problem to the appropriate person(s), we will not consider ourselves liable for those complaints. If they are unable to resolve matters to your satisfaction then you must write to us within 14 days of the conclusion of the event. No complaint will be accepted outside of this time frame thus deeming you fully satisfied with all aspects of the event and the services we have provided to you. We will acknowledge any correspondence within 7 days and endeavour to deal with the complaint as quickly as possible.

If the Participant(s) have a complaint about the Tour, in the first instance the Participant(s) must inform the Tour leader so that remedial action can be taken if possible. Thereafter, the Participant(s) must make the complaint in writing within the first 30 days of the Tour finish date, sending it to: BB Shipping Limited. Failure to follow the procedure set out in this clause may affect ours and the applicable supplier's ability to investigate your complaint, and will affect your rights under this contract.

Where offered, one free place shall be allocated to both parties (more than one group booking) as long as each booking meets the minimum required numbers stated on the individual booking(s) paying the full per person price. Both groups must pay in full (based on the minimum requirements) in order for this promotion to apply.

This agreement shall be construed in accordance with the laws of England and Wales and the courts of England and Wales shall have exclusive jurisdiction to deal with any disputes arising between you and us or our suppliers.

We may need to make changes to these terms and conditions. Any changes can only be made by us and not any third party member. We reserve the right to amend or improve these terms and conditions without prior notification. When it is necessary for changes to be made, we will forward you a copy of these changes and all reservations will abide by the amended terms, with the exception of reservations already made.
